Timecard Privacy Notice
For employees of Ganz Management LLC
Ganz Management LLC provides a timecard application to its own hourly employees. This notice explains what it records and why. It applies only to that application, and it is not a service offered to the public.
What we record
When you tap to record a stop:
- Your name, as it appears on your employee record.
- The time, taken from our server — not from your phone.
- Your phone’s reported location and its stated accuracy, at that moment only.
- The property or place you select, and what the visit was for.
- A photo, only if your manager has switched that on for your account, and only one taken at the moment you tap.
Held about you generally: your name, your mobile number, your hourly rate, and the hours your manager has approved.
What we do not do
- We do not track your location in the background. The app can only read your location while it is open and you have tapped to record a stop. It cannot follow you between stops, after work, or at any other time.
- We do not record your journey home. Your day ends at your last stop.
- We do not sell, rent or share any of this. It is used to pay you.
Why we record it
To work out the hours you are owed, to allocate that work to the right property, and to have a record if a week is later questioned. Your phone’s location supports what you have told us; it does not decide anything on its own, and it is never used to reject a stop you recorded.
How long we keep it
- Photos are deleted 60 days after the week they belong to is approved.
- Your hours and the record of your stops are kept as business and payroll records.
- If you leave, your access ends immediately. The record of work you did remains, because we are required to keep pay records.
Who can see it
The office staff at Ganz Management who administer timecards and approve pay. Nobody outside the company, with one exception: we use Twilio to send the setup text message, so your mobile number passes through them for that purpose.
Text messages
We text you once, to give you a link to set the app up on your phone, and again if you replace your phone. Nothing else — roughly one to two messages a year. Reply STOP at any time to receive no further messages, or HELP for help; stopping does not affect your employment or your pay. Message and data rates may apply.
Your number is entered only after you have signed the written consent form, and it is used only for the messages described above. No mobile information will be sold or shared with third parties or affiliates for marketing or promotional purposes. Neither mobile numbers nor consent to receive messages is shared with anyone for any purpose other than sending these messages — the single exception being Twilio, the carrier service that delivers them on our behalf.
